A fundamental feature of your booking engine is the function to send meeting offers directly to your customers with just one click. This function can be used not only by your employees in direct marketing, but also by your customers themselves as a self-service reservation.
1 - Configuring the meeting
Define your various options using the booking engine (date, number of persons, seating, meals, technical equipment etc.) so that all your customer’s needs are covered.
Once everything has been correctly set, you can either reserve directly or send an offer with different options.
2 - Sending a quote to the customer
Below the “Reserve” button on the right hand side of your hotel detail page, you can select from three options to send your offer:
a) Send quote by Email:
You can send the configured offer directly to one or more recipients. To do this, click the "Send quote by Email" button and enter the email address of all recipients into the address line (separate the different email addresses with a comma, semicolon or simply a space).
Optionally, you can enter further contact details such as first and last name, company name, address or a personal message to the addressee.
b) Save configured quote:
You can save the configured quote and make further changes. You can find the temporarily stored offers under “Favourites” in the upper right corner of the booking engine.
If you change the settings and save again, each further configuration (up to a maximum of 5) is saved in the “Favourites list”.
c) Copy the quote link:
If you need to send the preconfigured event to your customer in a separate email, you can use the "Copy link" button to save the direct link to your configured offer to your clipboard, and insert it in your document (right mouse button ➡ “Paste” OR key combination “Ctrl+V”).
Advice: The offer will also be attached as a PDF attachment to the quote e-mail.
3 - Sending multiple quote options in one email
For hotel chains and cooperations: you can send different offers with one mail.
To do this, create several configurations one after the other, as described in point 2 b), and store each of them in your favourites list by clicking the "Save quote" button.
Afterwards, go to the "Favorites" section in the upper right section of the screen and enter all the desired email addresses in the corresponding field. Now click on “Send quote now” and your customers will receive their meeting quote in their mailbox within seconds.
4 - Personalising your quote email
After entering the recipient’s email address, you can add the recipient’s personal details. Simply click the "Add contact details" button and enter the relevant customer details.
Use the “Comment” field to add extra personal information for the recipient. This could be a special greeting or a comment related to the conversation you had on the phone.
5 - Booking by the customer
Clicking on a button in the quote email directs the recipient back to the meeting configuration page. There, the customer can make further adjustments, e.g. by booking an additional service or re-timing the event, and ultimately complete the reservation by clicking on "Reserve".
