It should be a rare exception for a hotel to cancel booked events thanks to the automatic availability maintenance. However, this relies on an up-to-date and properly organized calendar of events.
However, inaccuracies can always occur when the calendar is maintained manually. In this case, you have the option to cancel a booked event in the MeetingMarket Extranet.
Advice: You should only make use of the cancellation function in the most extreme emergency as your search ranking is adversely affected by a high cancellation rate.
1 - Possible reasons for a cancellation
- Compliance requirements of an existing customer:
For example, you have a contractual agreement with an insurance company that no other insurance company can have an event at the same time. - Overbooking:
Another booking party booked that room before the customer confirmed their booking. - Cancellation by the customer:
The customer may use their right to cancel and contact you by phone, email or fax. In this case, you should also mark the booking as canceled in the system.
2 - Cancellation procedure in the Extranet
2.1 Navigate to the booking overview section in the Admin area of your booking engine.
2.2 Click on the respective booking once.
2.3 At the top of the window, click the “Cancel the customer” button.
2.4 Select one of the 3 reasons for cancellation and click “Cancel irreversibly”.
